How to Document Your Rental Unit Like a Professional

Professional documentation of your rental unit at move-in and move-out is the single most effective thing you can do to protect your security deposit and defend against improper damage claims. Landlords who lose security deposit disputes in small claims court almost always lose because the tenant has better documentation. This post shows you how to document like an attorney would.

The Move-In Walkthrough

Conduct a systematic room-by-room walkthrough on your move-in date — before you bring any of your belongings in. For every room, photograph: the ceiling (water stains, cracks), all four walls (scuffs, holes, stains), the floor (scratches, stains, wear), windows and blinds (condition, functionality), light fixtures and outlets, and any appliances included. Photograph inside closets, cabinets, and under sinks. Take a video walkthrough of the entire unit. Use a camera with automatic timestamps enabled or email the photos to yourself immediately so the timestamps are legally established.

The Move-In Checklist

Complete a detailed move-in inspection checklist — a room-by-room written record of every condition you observe. Note every existing defect, however minor. Chip in the bathtub enamel? Note it. Scuff on the wall behind the door? Note it. The checklist should be signed by both you and the landlord if possible — or signed by you alone and sent to the landlord by email or certified mail if they won’t sign. Any defect not noted on your move-in checklist may later be attributed to you.

Throughout the Tenancy

Maintain your documentation practice throughout the tenancy. Photograph any repair you report to the landlord, along with the date. Photograph any damage that occurs during your tenancy, particularly if it was caused by a third party, a building defect, or normal wear and tear. Keep copies of all maintenance requests and landlord responses.

The Move-Out Documentation

Repeat the move-in process in reverse — systematic room-by-room photographs and video taken the day you surrender possession, after all your belongings are out and you’ve cleaned. The move-out documentation, compared against move-in documentation, shows exactly what condition changed during your tenancy. Any change not attributable to normal wear and tear is deductible from your deposit. Any claimed damage that appears in your move-in documentation was pre-existing and not deductible.
